Thinkbox Technology Group is a US-based company looking to add Consultant IIs to our team. This position will support our clients. 

The Consultant II will assist the Senior Consultant with planning, implementing, and finalizing projects according to strict deadlines and within budget. This may include acquiring resources and coordinating the efforts of team members and third-party suppliers, contractors, and/or consultants to deliver projects according to the plan and client requirements.

The Consultant II will also assist with the project’s administrative tasks, such as scheduling meetings, booking rooms and resources, organizing venues, taking meeting minutes, creating presentations, document management, project plans maintenance and more.

The Consultant II will also run small projects on his/her own.

Job Responsibilities:

Task Tracking

• Gathers all project information: schedules, data requests, assignments, tasks, and project meetings.

• Works with the project team to understand and assist with tracking all work, task and project assignments.
•  
• Develops and maintains a detailed project schedule which includes administrative tasks and all sites involved in the project.
•  
• Works with the project lead to develop a comprehensive workflow process for the project.
•  
• Assist with monitoring and modifying the project schedule as needed.
•  
• Develop and review project status and reports with the Sr. Consultant’s guidance.
•  
• Process customer schedules and generate reports to ensure the team is meeting all appropriate customer needs and expectations.

Meeting Coordination and Documentation

• Prepare and/or edit meeting minutes, presentations and tables.
•  
• Assists project team and team lead in strategic meetings and follow up with meeting notes.
•  
• Schedule project follow-up meetings as needed.
•  
• Develops and publishes communications to project shareholders with project leads guidance.
•  
• Attend project coordination and owner/contractor/architect/engineer meetings as required.

Quality Control and Document Management

• Conduct quality control activities in accordance with guidance from the Sr. Consultant.
•  
• Understand and perform document control functions in accordance with on-site policy and procedures.
•  
• Participate in ongoing updates and accurate generation of as-built documents.
•  
• Assist with the research and preparation of field change requests to resolve design issues.
•  
• Maintain document control, database management.
•  
• Track project activities and team communication.

Project Control

• Assist with the review of project proposals and deliverables with project leads to determine the proper lead time, funding limitations, procedures for accomplishing the project, staffing requirements, and allotment of available resources to various phases of the project.

• Coordinate resources to support project activities.
•  
• Learn and adopt client processes to facilitate project flow.
•  
• Maintain ongoing communication with technicians and contractors to assure timely and efficient completion of jobs, proper communication of issues, and proper documentation of the entire process at each job site.

• Perform additional assignments and responsibilities as assumed or requested by supervision.

Project Management Responsibilities

• Manage parts of or a whole project in line with client and project requirements.

• Assist with the creation of business cases, define project scope, goals and deliverables.
•  
• Monitor all project documentation for completion and version control.
•  
• Track and report the progress of work regarding projects.
•  
• Track and report the progress of all communication to/from stakeholders.
•  
• Identify risks to project completion, then recommend action to resolve the issue.
•  
• Collect and analyze project data.
•  
• Ensure a thorough understanding of all elements of the project team to provide an effective and informed service to colleagues and customers.
•  
• Represent the project team at occasional meetings as requested by the Senior Consultant.
•  
• Create Project workflows, work breakdown structures, and project plans.

 Supervisory Responsibility

• This position has no supervisory responsibilities. However, individuals may be asked to train others in areas where management/principals determine it is necessary.

Position Type/Expected Hours of Work

• This is a full-time position. Consultant II’s work a standard workweek but may be required to work evenings and weekends to monitor program activities and participate in cutovers or other project efforts.

Travel

• Travel is primarily at client’s site during the business day. However, up to 50% out-of-the-area and overnight travel may be expected depending on the project/client needs.

• Minimum of 3 years in working with a wide range of projects as a project coordinator.

The Senior Consultant will manage multiple projects, project managers, and small to medium programs. This role is also an advisory role to the company and clients regarding strategic plans and best practices.

The Senior Consultant is familiar with and can recommend new technologies.

Job Responsibilities:

Project Planning

• Explain the implications of changes to project scope and/or objectives to the client and the project team.
•  
• Lead the team to prioritize signed off on project work, based on analysis of strategic importance, tasks outstanding, obstacles or barriers, budgets, resources, and deadlines.
•  
• Create or participate in the creation of project documentation.
•  
• Manage the client stakeholders, team members, or contract personnel to design a solution and establish associated project timelines and budgets that allow for the delivery of the most strategic function within the project constraints.
•  
• Establish and maintain a well-communicated schedule for all phases of a project.
•  
• Work with the Account Director to ensure changes are understood and approved.

Budget Tracking

• Understand basic revenue models, P&L, and cost-to-completion projections and makes decisions accordingly.
•  
• Understand our pricing model and billing procedures.
•  
• Accurately forecasts revenue, profitability, margins, bill rates, and utilization.
•  
• Assure project legal documents are completed and signed.
•  
• Track and report team hours and expenses on a weekly basis.
•  
• Manage the project’s budget.
•  
• Determine appropriate revenue recognition, ensure timely and accurate invoicing, and monitors receivables for the project.
•  
• Follow up with clients, when necessary, regarding unpaid invoices.

Project control

• Manage scope creep through client change orders, internal change orders, phased delivery or other methods to ensure projects deliver on timeline, scope, budget, and strategy expectations.
•  
• Evaluate all key project deliverables, as well as the final product to ensure traceability of requirements, high quality, and client acceptance.
•  
• Responsible for formal sign off on all project deliverables; this will often include coordinating input and involvement from the account director and client.
•  
• Ensure the project meets team and client expectations with respect to quality, budget, timelines for delivery, and strategy.
•  
• Identify, track, manage and mitigate risk on specific client engagements. Escalate these issues when necessary to ensure minimal impact to quality, budget, and timeline.
•  
• Create contingency plans where project control is in jeopardy with appropriate input from key team members and implement a revised project schedule, scope or budget in a timely manner.

Project communication

• Work with Account Director to ensure clients achieve an understanding of expectations, deliverables, dependencies, risks, progress, and the right works development process.
•  
• If needed, create customized reporting for the client or team with account management and/or team leads, to secure sign off on deliverable or documentation.
•  
• Use sound judgment in all project communication and ensure that key stakeholders including the team, client and management are apprised of project activities in a timely manner.

• Communicate progress, risks, expectations, timelines, milestones and other key project metrics to clients and team members.

Internal project reporting and administration

• Be prepared to discuss project quality, client and team satisfaction, and project success metrics during regularly scheduled and ad hoc project review meetings with the Managing Director.

• Track and report weekly on percent complete, budget burn, earned value, slippage, project effort, and duration to complete and other key project metrics.
•  
• Keep an accurate risk tracking document with an associated mitigation plan.
•  
• Knowledgeable with regard to writing Request for Proposals (RFPs). 

Resource Management

• Set the project role of team members based on project requirements, time frames and budget.
•  
• When necessary work with external contractors in addition to internal resources.
•  
• Define skill sets (competencies) required for the project based on project specifications and requirements.
•  
• Determine resource requirements (including staffing, software, hardware, and facilities) of projects, based on project specifications.
•  
• Manage and mentor team members.

Client management

• Seek opportunities to increase customer satisfaction and deepen client relationships.

• Build a knowledge base of each client’s business, organization, and objectives.

• Manages day-to-day client interaction.

• Define and manage client expectations.

Supervisory Responsibility

• This position has supervisory and training responsibilities. Sr. Consultants are responsible for the training and development of team members assigned to projects they are supporting or managing.

• Consultants will assist Principals in identifying ways to expand in current clients as well as assist in developing new business leads as opportunities present themselves.

• Consultants may be asked to perform additional assignments and responsibilities as assumed or requested by management.

• Minimum of 5 years project management experience, preferably technical project; Bachelor’s degree in IT or related field and PMP or equivalent certification required; other technical certifications preferred.

• Minimum of 8 years of project management experience, preferably managing technical projects with high school or technical institute diploma.

• Has a Technical background with hands-on experience or an understanding of IT Infrastructure, networking, and operations.

• Detail-oriented, self-motivated, with the ability to work independently and collaboratively within a team.

• Excellent written and verbal communication skills.
