Thinkbox Technology Group is a US-based company looking to add Consultant IIs to our team. This position will support our clients.
The Consultant II will assist the Senior Consultant with planning, implementing, and finalizing projects according to strict deadlines and within budget. This may include acquiring resources and coordinating the efforts of team members and third-party suppliers, contractors, and/or consultants to deliver projects according to the plan and client requirements.
The Consultant II will also assist with the project’s administrative tasks, such as scheduling meetings, booking rooms and resources, organizing venues, taking meeting minutes, creating presentations, document management, project plans maintenance and more.
The Consultant II will also run small projects on his/her own.
Job Responsibilities:
Task Tracking
- Gathers all project information: schedules, data requests, assignments, tasks, and project meetings.

- Works with the project team to understand and assist with tracking all work, task and project assignments.

- Develops and maintains a detailed project schedule which includes administrative tasks and all sites involved in the project.

- Works with the project lead to develop a comprehensive workflow process for the project.

- Assist with monitoring and modifying the project schedule as needed.

- Develop and review project status and reports with the Sr. Consultant’s guidance.

- Process customer schedules and generate reports to ensure the team is meeting all appropriate customer needs and expectations.
Meeting Coordination and Documentation
- Prepare and/or edit meeting minutes, presentations and tables.

- Assists project team and team lead in strategic meetings and follow up with meeting notes.

- Schedule project follow-up meetings as needed.

- Develops and publishes communications to project shareholders with project leads guidance.

- Attend project coordination and owner/contractor/architect/engineer meetings as required.
Quality Control and Document Management
- Conduct quality control activities in accordance with guidance from the Sr. Consultant.

- Understand and perform document control functions in accordance with on-site policy and procedures.

- Participate in ongoing updates and accurate generation of as-built documents.

- Assist with the research and preparation of field change requests to resolve design issues.

- Maintain document control, database management.

- Track project activities and team communication.
Project Control
- Assist with the review of project proposals and deliverables with project leads to determine the proper lead time, funding limitations, procedures for accomplishing the project, staffing requirements, and allotment of available resources to various phases of the project.

- Coordinate resources to support project activities.

- Learn and adopt client processes to facilitate project flow.

- Maintain ongoing communication with technicians and contractors to assure timely and efficient completion of jobs, proper communication of issues, and proper documentation of the entire process at each job site.

- Perform additional assignments and responsibilities as assumed or requested by supervision.
Project Management Responsibilities
- Manage parts of or a whole project in line with client and project requirements.

- Assist with the creation of business cases, define project scope, goals and deliverables.

- Monitor all project documentation for completion and version control.

- Track and report the progress of work regarding projects.

- Track and report the progress of all communication to/from stakeholders.

- Identify risks to project completion, then recommend action to resolve the issue.

- Collect and analyze project data.

- Ensure a thorough understanding of all elements of the project team to provide an effective and informed service to colleagues and customers.

- Represent the project team at occasional meetings as requested by the Senior Consultant.

- Create Project workflows, work breakdown structures, and project plans.
Supervisory Responsibility
- This position has no supervisory responsibilities. However, individuals may be asked to train others in areas where management/principals determine it is necessary.
Position Type/Expected Hours of Work
- This is a full-time position. Consultant II’s work a standard workweek but may be required to work evenings and weekends to monitor program activities and participate in cutovers or other project efforts.
Travel
- Travel is primarily at client’s site during the business day. However, up to 50% out-of-the-area and overnight travel may be expected depending on the project/client needs.
Requirements:
- Minimum of 3 years in working with a wide range of projects as a project coordinator.

- Experience as a junior project manager on a small or medium project preferred.

- Knowledge of PM standards.

- Bachelor’s degree in Computer Science, Business or related field highly desired.

- CAPM or equivalent or basic technology certification required.
